The main function of the Administrative Officer role is to support the work of HSE Inspectors in frontline operational delivery. In Field Operations Division (FOD) our purpose is to prevent work-related death, injury and ill-health. We apply a range of regulatory tools to improve health and safety, bringing together different interventions to achieve that impact. We influence and engage stakeholders, create knowledge and awareness of health and safety risks, and encourage behavioural change through assessments and direct interventions including inspections and investigations.
In this role you will contribute to the important work HSE does. You will work closely with your colleagues to deliver the key responsibilities of the post. You will be flexible and able to respond to changing work priorities at pace, which will allow you to develop your skills and knowledge. In all that you do you will be proactive, innovative and focused on delivering HSE’s business, as well as able to plan and prioritise your work. You will be required to provide support on both a local and national basis according to business need.
As part of this role, you will need to:
- Develop awareness and knowledge of HSE’s work and organisational structure.
- Acquire an understanding and knowledge of relevant operational and business support procedures and functions.
- Work closely with Team Leaders and colleagues to deliver the key responsibilities of the post, in a flexible and responsive manner, and according to agreed timescales.
- Keep abreast of changes to procedure and personal role, in line with business priorities and personal development needs, responding positively and flexibly to change.
- Deliver high level professional customer service at all times.

This is a voluntary, non-contractual arrangement and your allocated office will be your contractual place of work. There will be a requirement to travel to the office for various activities e.g., collaborative working, supporting and training colleagues. Therefore, we would encourage candidates to consider if the commute from home to the office is a feasible distance to travel before making an application. Part time working hours are available for this role. We can accept part time applicants who can commit to working a minimum of 22.2hrs per week

Responsibilities:
- Provide a quality professional service for HSE, answering calls, emails and other queries in a timely, professional manner, ensuring exceptional customer service at all times.
- Provide professional administrative services, ensuring all tasks are completed on time, and in accordance with SLA’s and are to the required standard.
- Input and process data on computer systems, ensuring accuracy and attention to detail at all times, drawing conclusions from this data to make sound decisions.
- Contribute to the delivery of team projects, working effectively as a team member, with others.
- Communicate effectively and professionally with customers and external stakeholders.
- You will be proficient in the use of all Microsoft Office Packages including MS Word, Excel, Outlook and PowerPoint.
- The ability to report and analyse data in Excel would be beneficial
